The Indonesian Occupational Medicine Specialist Association (PERDOKI) is a professional organization under the Indonesian Medical Association (IDI), dedicated to enhancing the health and productivity of workers through promotive, preventive, and rehabilitative efforts. PERDOKI is committed to safeguarding the personal data of its members, visitors, partners, users, and other relevant stakeholders. This Personal Data Policy takes into account various aspects, including technology application, human resources, and methods, and is guided by Pancasila, the 1945 Constitution, and its implementing regulations such as Government Regulations and Ministerial Regulations.

This Personal Data Policy aims to help you understand how PERDOKI collects, why we collect, processes, analyzes, stores, uses, discloses, provides, distributes, revises, or deletes your identifiable Personal Data in connection with the use of our Services.

A. DEFINITION

  1. PERDOKI / We: Refers to the Indonesian Occupational Medicine Specialist Association (PERDOKI), a professional organization under the Indonesian Medical Association (IDI).
  2. Services: Refers to any service, information, product, activity, or other form of service provided by us, either through the Portal or by other means (such as events, seminars, book sales, etc.).
  3. Portal: Refers to any software application, website, or other digital platform, existing or future, developed and operated by us and/or Third Parties, allowing access to our Services.
  4. PERDOKI Member: An individual who has registered as a member of PERDOKI, holds a member number recorded at the PERDOKI Secretariat, and has been officially inducted as a PERDOKI member. Such members are automatically registered on this Portal and Service, unless they explicitly revoke consent and request the deletion of their personal data in writing to the PERDOKI Secretariat (see point J).
  5. PERDOKI Partners / Non-PERDOKI Members: Any party who uses, accesses, or participates in our Services, either through the Portal or by other means, regardless of whether they are registered on the Portal.
  6. Users: Includes both PERDOKI Members and PERDOKI Partners / Non-PERDOKI Members who use, access, or participate in our Services, either through the Portal or by other means, whether they are registered on the Portal or not.
  7. Third Parties: Refers to individuals, organizations, or companies that collaborate with PERDOKI in creating, managing, and maintaining the Portal, online payment systems (online payment gateways), and sponsorship activities to ensure the effective operation of our Services on the Portal.
  8. Personal Data: Refers to any data or information about you that we collect through your use or interaction with the Portal and/or Services, whether identifiable or non-identifiable. This includes, but is not limited to, your name, address, date of birth, place of birth, occupation, place of work, personal identification, other identity documents, telephone number, email address, and any other information that may identify you as a user.

B. SCOPE

This Personal Data Policy applies to all Personal Data collected across all of our Services, including but not limited to:

Any additional information, services, or products introduced in the future that are recognized by us will also be subject to this Personal Data Policy. C. PURPOSE

We collect, process, use, and share your Personal Data, including with our Third Parties, for the following purposes:

  1. Providing Support and Information: We may use your Personal Data to offer support and respond to inquiries related to your usage history, including but not limited to handling complaints, responding to calls, and confirming user information related to our Services.
  2. Informing About Products and Updates: We may use your Personal Data to notify you about new publications, products, promotions, personalized offers, event participation, or relevant information. This includes both our products/services and those of our Third Parties that may align with your interests. We may also analyze your transaction history with our Services to better tailor the information we provide about our and our Third Parties’ offerings.
  3. Analyzing User Behavior for Enhanced Experience: We utilize your Personal Data from interactions with our Services to analyze interests and behavior patterns. This analysis helps us offer more personalized experiences, services, promotions, and information suited to your needs.

  5. Communicating with Third Parties: We may share your Personal Data with our Third Parties for purposes related to our activities, such as completing transactions, addressing needs, and offering products or services tailored to your interests. We carefully select our Third Parties and require them to safeguard your Personal Data. However, any misuse of your Personal Data by our Third Parties is their full responsibility.
  6. Protecting Our Content and Services: We use Personal Data to prevent illegal activities and enforce our Terms of Use. Our technology systems are also employed to detect suspicious activities, such as spam, plagiarism, and piracy.
  7. Gathering Feedback and Suggestions: We may invite Users to provide feedback and suggestions through surveys, usage studies, and group discussions to enhance our products and Services according to user needs and interests.

Global Scope of Implementation: All the actions outlined above are implemented across regions and territories worldwide.

D. DATA WE COLLECT

  1. We collect some Personal Data that is directly provided by you and is not limited to the following::
    • Name
    • Contact information (telephone, email)
    • Date of birth
    • Place of birth
    • Demographics: gender, occupation,
    • Personal identification information (KTP, KTA-IDI, KTA-PERDOKI, and other personal identification)
    • Social media profile information
    • Education and employment information
    • Information about things you are interested in
    • Other information from you, uploaded or provided to Us.
  2. We also collect some other information when you use our Portal and/or services:
    1. Information about the device(s) you use
    2. Information about use of services
    3. Cookies
    4. Authentication data
    5. Location information
    6. Data that has been recorded through one of the Third Party services will also be used to improve the User experience across all lines of Our Services and Our Third Parties.
  3. Cookies are small text files that are sent to and stored on your computer, smartphone or other device for accessing the internet, whenever you use Our Services through the Portal. Cookies are useful because they allow the Portal to recognize the user’s device. Cookies help us personalize the Portal and meet the interests and desires of Users.

We use cookies to enhance your privacy. Our Portal does not use cookies to collect personal information from your device, and we never store passwords or other sensitive data in cookies.

We utilize analytics cookies to help us understand how users interact with the Portal. These cookies provide insights into which pages are popular and how users navigate the Portal, allowing us to improve your experience. The data collected by analytics cookies is shared with our Third Parties in an aggregated and anonymous format, ensuring that no personal information is disclosed.

E. DATA WE DO NOT COLLECT
We highly value the confidentiality of your data. Therefore, we do not collect any content from your device, including photo albums, files, data, communications from messaging apps (such as app messengers and SMS), contact information/phonebook, or call history. We only access such data if you consciously choose to provide, upload, or submit it to our Portal or Services.

F. SECURITY

The confidentiality of your information and Personal Data is our top priority. We implement robust measures and procedures to protect and secure your Personal Data, including conducting regular internal evaluations to enhance our security systems. We ensure that the Personal Data we collect is encrypted during both transmission and storage on our servers. However, while we strive to protect your data, we cannot fully guarantee that our systems are immune to viruses, malware, or unauthorized access.

User Responsibility: Users are responsible for maintaining the confidentiality of their information on the Portal and while using our Services. This includes safeguarding your account password, which you should not disclose or share with anyone, including individuals claiming to be representatives of the PERDOKI Secretariat, administrators, contact persons, or managers of this Portal. Your account password is personal and must be kept secure. Additionally, please ensure the security of your device.

We are not liable for any losses resulting from your failure to protect the confidentiality of your information or account. By using our Services, you agree to release us, our Chairperson, organization administrators, members, employees, and/or Third Parties from any claims, lawsuits, damages, or demands arising from unauthorized access or use of your account.

G. PROVISIONS REGARDING MINORS

In general, all information and services on our Portal are suitable for users of all ages. However, we do not recommend the use, reading, or consumption of our information and services by children under the age of 18 (eighteen) years. The creation of a Portal account and/or registration for PERDOKI Services is strictly prohibited for individuals under 18 years of age or below the minimum age specified by applicable laws and regulations.

If a minor has provided Personal Data, their parent or guardian must contact PERDOKI (refer to Section N) to request the deletion of the Personal Data and discontinue use of the Portal account and/or Services.

We are unable to directly verify a user’s age during the account creation process or when using/registering for our Services through the Portal. Therefore, users agree to release us and our Third Parties from any claims, lawsuits, or demands arising from violations of this policy. Users also accept full responsibility for any such claims, lawsuits, or demands resulting from non-compliance with this provision.

H. TECHNICAL INFORMATION AND REGULATIONS

  1. User’s Personal Data: We collect Personal Data from Users through various methods, including but not limited to, when Users visit our Portal, use its features, access content, register as a PERDOKI Partner/Non-PERDOKI Member, or utilize the Services provided on the Portal. Users may be asked to provide information such as email addresses, home/office addresses, telephone numbers, and other relevant data as needed. All Personal Data is entered voluntarily by the User on this Portal, indicating their consent to share this information with us.
  2. Users have the option to refuse providing Personal Data; however, such refusal may restrict their ability to access certain features or services on the Portal.
  3. Non-Personal Data : We may also collect non-personal data when Users interact with our Portal and Services. This non-personal data may include the browser name, computer type, type of mobile device, and other technical details related to the User’s connection to our Portal, such as operating system, internet service provider, social media usage, and other related information.
  4. Social Media and Third-Party Accounts. If you choose to link your social media account or any other third-party service account to our Services and/or Portal, you may authorize the respective third party to share certain information with us. By doing so, you permit us to collect, store, and use this information as described in this Privacy Policy.
  5. Logging Practices; We automatically record Internet Protocol (IP) addresses for Users accessing the Portal through web-based applications and User sessions for those using mobile applications. Additionally, we log certain information to identify users of the Portal, including:
    • Type/version of browser/device
    • Operating system used
    • Date and time of server request
    • Location (latitude and longitude)
  • For mobile applications, we use the following materials to identify:
    • Brand and/or type/version of device
    • IMEI Device
    • Operating system used
    • Date and time of server request
    • Location (latitude and longitude)
    • Other information provided by the operating system, browser or device

This identification is used across our Services and Portals to enable understanding of User data across products/Services. This creates greater opportunities for Us to provide better service to Users.

  1. External links behavior (pranala luar): Some of our Services/Portals may contain links to other websites or applications managed by third parties (outside the scope of www.perdoki.or.id and event.perdoki.or.id, as mentioned in Section B). When you access these external sites or applications, please be aware that we are not responsible for their data collection practices, content, or any information they may gather, even if our name or logo appears on their site or application. We encourage you to exercise caution when leaving our Portal and to review the privacy policies of any external sites or applications you visit, as their privacy practices may differ from ours.
  2. Do Not Track (DNT): is a self-regulatory initiative designed by the online advertising industry to give consumers choices about the types of ads they may see and opt out of online behavioral ads served by participating companies. We do not respond to DNT in your browser settings.
  3. If you are no longer a registered User or using our services, we will continue to store your Personal Data for at least 5 (five) years from the last date you were a registered User or from the last date you used our Services/accessed the Portal or for another period of time as regulated by the laws and regulations in force in Indonesia.
  4. Responding to Legal Requests: We reserve the right to disclose your Personal Data when required by law, a valid court order, or a request from an authorized government agency.

I. STATEMENT AND CONSENT TO PERSONAL DATA

By using our Portal and/or Services, you confirm that you have read, understood, and agreed to this Personal Data Policy, including any updates or changes we may make from time to time. You consent to our use, processing, and transfer of your Personal Data as outlined in this policy.

Additionally, you agree to share all information provided to us and grant us the authority to delete, use, and share your Personal Data with Third Parties as necessary to support our Services, Portals, and activities.

J. REVOKING OF CONSENT AND DELETION OF PERSONAL DATA

  1. If you are a registered User, you can review, update, and correct your Personal Data through the User profile settings on the Portal.
  2. PERDOKI is responsible only for the deletion of the data stored within your PERDOKI Account. 
  3. We are not responsible for any data outside of your PERDOKI account..
  4. You may revoke your consent to the collection, use, and disclosure of your Personal Data, or request the deletion of your stored Personal Data, by following the procedure outlined below:
    • please log in and access the profile menu.
    • If you are unable to access your account due to PERDOKI’s policy, you can request account deletion by emailing support@perdoki.or.id and/or perdoki@yahoo.co.id.
    • If account deletion is not possible through the portal, you may also request deletion by contacting PERDOKI via the same email addresses: support@perdoki.or.id and/or perdoki@yahoo.co.id.
  5. By deleting your PERDOKI account, you will :
    • Deleting your Personal data
    • Do not have access to make data changes, comments and other activities that require login access.
    • Disconnected from access to all services, products, seminars, books and others that require login access..

K. EMAIL ADDRESS POLICY

  1. We may send you emails inviting you to participate in user surveys, provide feedback, or share your thoughts on our existing or developing services.
  2. If you communicate with us via email, we may retain and/or store the contents of your email messages, including the history of communications and any information you provide during these exchanges.
  3. Please note that email communication is not secure or encrypted, and the information contained in your email may be viewed by others. Therefore, we recommend exercising caution when sending confidential information to our email. We are not responsible for any issues arising from emails you send to us, nor are we obligated to assist with any incidents that may be detrimental to you.

L. DISPUTE RESOLUTION AND LANGUAGE

  1. PERDOKI and the User agree to make every effort to reach a settlement through deliberation no later than 30 (thirty) working days from the time one party receives a written notice from the other party.
  2. Language: This Privacy Policy may be provided in languages other than Indonesian. In the event of any discrepancy between the Indonesian version and other language versions, the Indonesian version shall prevail.
  3. This Agreement shall be governed by and construed in accordance with the laws of Indonesia.
  4. Any dispute arising from the implementation or interpretation of this Agreement that cannot be resolved amicably shall be finally settled in accordance with the rules and procedures (“Rules”) established by the Indonesian National Arbitration Board (“BANI”). The arbitration shall be conducted by three arbitrators, selected in accordance with the Rules, unless the Parties agree to appoint a sole arbitrator.

M. CHANGES TO PERSONAL DATA POLICY

PERDOKI may update this Personal Data Policy from time to time by indicating the date of the last revision. You acknowledge and agree that PERDOKI and/or its Third Parties have the right to modify this Personal Data Policy at their discretion. Therefore, you are advised to regularly review and read this policy. By continuing to access the Portal and/or use any PERDOKI Service, you are deemed to have understood, accepted, and agreed to this Personal Data Policy, including any updates or changes.

If any part of this Privacy Policy is deemed invalid, such invalidity shall not affect the validity of the remaining provisions.

O. EFFECTIVE DATE AND OTHERS This

This Privacy Policy was last updated and amended on November 20, 2024. By using our Portal or Services, you are deemed to have agreed to this Personal Data Policy and Transaction Policy, including any changes made to them. This Personal Data Policy and Transaction Policy are governed by and shall be interpreted in accordance with the applicable laws and regulations of Indonesia.
